Managed IT Services Pricing in Charlotte, NC

Managed IT Services Charlotte publishes three per-user plans: Essential at $125, Professional at $175 and Complete at $225 per user per month, with a minimum of 10 users or $1,250 per month, whichever is greater. All three sit inside the $100-250 per user per month band that Charlotte providers publish for their own managed agreements (Spectrumwise, Cortavo), and every add-on, exclusion and contract term is listed on this page so the number you calculate here is the number that appears on the quote.

Add-Ons and Adjustments

Four things change the per-user total, and each has a published price rather than a negotiated one.

Contract Terms

Every plan is available month to month at list price. A 12-month agreement takes 10% off list, and the onboarding fee, which is one month’s fee, is waived on a 12-month agreement. Either way the notice period is 30 days.

When an agreement ends, full documentation, administrative credentials and a data export are returned at no charge, and there is no transition fee. Microsoft 365 licences are billed at cost on top of the plan and stay in your tenant, so nothing about the licensing changes if the provider does.

What Is Not in the Monthly Fee

The monthly fee buys operation of what you already have. It does not buy the things themselves. Hardware, software licences, structured cabling and major projects such as migrations, office moves and network rebuilds are quoted separately, each with its own written scope, and never appear on the recurring invoice without one.

Pricing Models Compared

Charlotte providers sell managed IT under four models, and the right one depends on the shape of the company more than on the size of the bill. Spectrumwise, a Charlotte MSP, publishes the local ranges used below.

ModelHow you payCharlotte-market range (Spectrumwise)Suits
Per userFlat fee for each user, monthly$100-200 per user per monthStandard office teams where each person has one or two devices
Per deviceFlat fee for each managed device, monthly$35-250 per device per monthDevice-heavy sites such as clinics, warehouses and plant floors
Break/fixPer incident or per hour, after something fails$125-250 per hourRare one-off problems; not a maintenance arrangement
Fully hostedProvider owns and runs the infrastructure$250-400 per user per month (market)Companies that want no servers of their own

Our published plans are per user. A per-device schedule is available for device-heavy sites on request, priced from the same inclusion list.

What Moves the Price

Headcount is the base. The plan price is multiplied by the number of people who need support, and the 10-user minimum applies below that figure.

Servers and specialised devices add to it. Each server is $150 per month on any tier, and devices that are out of vendor support carry the $25 legacy surcharge until they are replaced, because they take more time to keep secure and cannot be patched.

The compliance regime decides the tier. A practice covered by HIPAA, a firm handling card data under PCI DSS 4.0.1, or a defense supplier working to a CMMC self-assessment needs the Complete tier, because compliance management, immutable backup with tested restores and the annual risk assessment are what those frameworks ask for.

Additional sites, after-hours needs and device age move it at the margins: $99 per site per month for each extra location, 1.5 times the standard rate for scheduled after-hours project work, and the legacy surcharge for ageing hardware.

How Charlotte Pricing Compares

Three independent sources describe the market our plans sit in. A US and Canada tier survey places managed IT packages at $100-125 per user per month for basic business-hours support, $150-200 with EDR, cloud backup and email security added, $200-300 with 24/7 SOC or MDR, compliance management and a vCIO, and $250-400 for fully hosted infrastructure.

Two Charlotte sources narrow that to the local market: Spectrumwise publishes $100-200 per user per month for per-user agreements, and Cortavo’s Charlotte guide gives $100-250 per user per month depending on the level of service and security included. Essential, Professional and Complete map onto those bands in order, and none of the three exceeds the top of the local range.

Is It Worth It

Yes for a company whose hourly cost of downtime exceeds its monthly plan cost, and that describes most Charlotte firms with 15 or more staff. Cortavo’s Charlotte guide puts the average cost of IT downtime for a small business at more than $10,000 per hour; that is Cortavo’s figure, not ours, and the arithmetic works without it. A 20-person company on Professional pays $3,500 a month. If one avoided outage saves an afternoon of a 20-person payroll plus the revenue that afternoon would have produced, the plan has paid for itself for the quarter.

No for a two-person firm with one laptop and no customer data to protect. The 10-user minimum puts the fee at $1,250 a month for a company that would spend a fraction of that on occasional hourly help, and the honest answer for that business is a good backup, MFA on its email, and a break/fix relationship it can call.

Pricing Questions

Is there a minimum?

Yes. Every plan has a minimum of 10 users or $1,250 per month, whichever is greater. A company with 8 users on Essential pays the $1,250 minimum rather than 8 times $125.

Can we pay per device instead of per user?

Yes, for device-heavy sites. The per-device schedule uses the same inclusion list and is quoted after the assessment, because the device count is what the assessment establishes.

What happens when our headcount changes?

The invoice follows the user count each month. Adding a user is a ticket to the help desk; removing one is the same ticket, and the offboarding is done on the same day it is requested.

What is the onboarding fee?

One month’s fee, covering the 30-day onboarding to full coverage. It is waived on a 12-month agreement.

Can the price change?

Not inside a 12-month agreement. On month-to-month, published prices can change with 30 days’ notice, which is the same notice period either side gives to end the agreement.

Is there nonprofit pricing?

Yes. Registered nonprofits receive 10% off list on any tier, and we support Microsoft nonprofit licensing eligibility so the software line comes down as well.

How is co-managed IT priced?

On the same plans and the same 10-user minimum. An internal IT team keeps its role, and the plan supplies the 24/7 desk, the SOC and the after-hours cover behind it.

How do we get an exact number?

Send the user count, the number of servers and the compliance frameworks you work under. A per-user quote on the tier that fits comes back without a sales call, and the free assessment confirms the device and server counts before anything is signed.
